Calendar connections

Per-agent Google Calendar setup. Each member connects their own Google account, picks which calendar gets new bookings (and which other calendars block availability), and toggles whether they're bookable. On Team plans, the workspace also picks an assignment strategy that decides which agent gets new bookings.

Quick answers
Do my events show up on the Calendar page right after I connect?
Yes. As soon as you finish connecting, we set your main Google calendar as the one new bookings write to, so your events show up on the CRM Calendar page right away. You don't have to open the picker and press Save first. To write bookings to a different calendar, or add personal calendars that only block availability, change those on the "My calendar" card and Save.
It says I didn't grant all the permissions — what happened?
On Google's consent screen you can un-tick individual checkboxes. If you turn off any of the calendar permissions, the connection can't read your availability or write bookings, so we don't save it. You'll land back here with a message asking you to try again. Click Connect Google Calendar, leave every checkbox ticked this time, and Allow. Nothing was stored from the partial attempt.
Should I use this or the service-account path?
If you're solo or every agent shares one calendar — service account (Integrations) is simpler. If you have multiple agents who each want their own calendars and their own bookings, use this page. Once any OAuth connection exists, the workspace switches to OAuth mode and ignores the service-account row.
What does "bookable" mean?
Whether new bookings can land on your calendar. Use the toggle to mark yourself unavailable while staying connected — e.g., during PTO. Your busy time still feeds availability checks for other agents (so nobody books over a meeting), but new appointments never route to you while the toggle is off.
What's the difference between round-robin, first-free, and least-loaded?
Round-robin spreads bookings evenly by rotating through bookable agents. First-free always picks the first agent in member order who's free at that slot. Least-loaded counts each agent's appointments in the next 7 days and picks the lightest. Round-robin is the default and works for most teams.
I disconnected — does my historical booking data go away?
No. Past appointments stay attached to your account. Disconnecting just stops new bookings from routing to you and revokes the OAuth tokens at Google's end. You can reconnect at any time.
It says "Needs reconnect" — what happened?
Google rejected the last call we made on your behalf, and the reason isn't something we can fix server-side. Most common causes: you changed your Google password, you revoked InforceDesk at myaccount.google.com, or the permissions we ask for changed since you originally connected. We email you when this happens and show a banner across the CRM until it's fixed, so you don't have to be on this page to find out. Click Reconnect Google Calendar on the card — your existing picker selections (primary calendar, availability calendars, bookable toggle) survive the reconnect. While the connection is in this state, new bookings will NOT route to you and your busy time will NOT block slots from being offered.

Connecting your calendar

Click Connect Google Calendar on the "My calendar" card. You'll go through Google's sign-in screen, authorize InforceDesk to read and write events, then land back here. We set your main Google calendar as the booking target for you, so you're ready as soon as you return. If you'd rather send new bookings to a different calendar, add availability-only calendars (read for conflicts, never written to), change your timezone, or mark yourself not bookable, change those on the card and Save.

Team calendars (admin view)

Owners and admins see a table of every connected member with their Google email, status, and a per-row toggle. Use it for at-a-glance "is anyone not connected yet" checks and to mark someone non-bookable during their PTO without touching their personal settings.

Assignment strategy

Owner+admin only. Picks how the booking engine assigns new appointments among bookable, free agents. Round-robin keeps a pointer so the next booking goes to the next person in line; switching strategies resets the pointer so things start fresh.

Sharing toggles (per agent)

Two checkboxes on each agent's row govern the Calendar page's overlay: Share events with workspace (lets teammates see your Google events at all) and Share event details with workspace (when sharing is on, controls whether teammates see real titles or just opaque "Busy" blocks). Both default off. You always see your own events with full detail regardless.
