Clients

Your active book of business. A client is a person you've closed at least one policy with. The list page is structured like the leads list but optimized for tracking renewals, premiums, and policy details rather than pipeline movement.

Quick answers
How does a lead become a client?
Marking a lead as Won creates the client record from the lead's name, email, phone, demographics, coverage, and assigned agent, and adds one policy in Pending status with the product set to the lead's first insurance type. The lead page then links you to the client's Policies section so you can fill in the carrier, premium, start and renewal dates, and the commission setup. The lead itself stays for history; the client is the active record going forward.
Can a client have more than one policy?
Yes. The detail page's "Policies & Commissions" section has an + Add Product button. Each policy carries its own carrier, premium, dates, plan type, status, and commission setup. Stat-strip totals (monthly premium, annual commission) sum across every policy.
What's the "Renewing soon" segment?
Clients with at least one policy whose renewal_date falls within the next 30 days. Renewing rows on the list are tinted yellow so they're easy to spot in a sea of regular clients.
How do I import existing clients?
Use the Import CSV button. Headers are flexible (first name/last name/email/phone, plus per-policy fields like carrier, policy number, premium, renewal date). One row per policy means a multi-policy client takes multiple rows with matching name + email. The whole import runs in one transaction, so a bad row rolls everything back.

List page

Stat strip at the top: total clients, renewing in 30 days, monthly premium across the book, active policies. Segments rail on the left: All / Renewing / High premium / by insurance type / by assignee (Team plan). Toolbar with search, filters, sort, and column picker — same shape as the leads list.

Filters

+ Filter works the same way as on the leads list. Client fields come first: insurance type, sales product, carrier, state, city, county, ZIP, gender, email, phone, renewal date, policy start, created date, and "Assigned to" on Team plans. Your custom fields follow. Carrier, renewal date, and policy start look across all of a client's policies, so "Renewal date within 30 days" matches anyone with at least one policy renewing in the next month, and "Carrier contains Pinewood" matches anyone holding a Pinewood policy. Date operators are within / not within N days, before, and on or after. Chips above the table show what's applied, and the filters stay in the URL so a view can be bookmarked.

Detail page sections

The page breaks into six numbered sections. Identity & Profile has name and contact info, demographics, and your custom fields. Notes & History is where context that doesn't fit on a field lives. Policies & Commissions is the heart of the page — one collapsible block per policy with carrier, premium, dates, status, and the commission setup that drives the calendar. Communication is the email composer plus full email history. Engagement wraps workflows, tasks, and appointments tied to this client. Documents previews uploads with a link to the full per-client documents view.

Formatting long notes

The Notes field on the detail page has the same formatting toolbar as the email composer — bold, italic, underline, strikethrough, font and size, color, alignment, bullet and numbered lists, and links. Any custom field you set up as a text area gets the same toolbar. Notes you wrote before the toolbar existed keep their line breaks and open normally.

Email attachments

The client email composer takes file attachments — up to 5 files, 10MB each, 24MB total (PDF, images, Word, Excel, or text). Upload fresh files or tick any document already on file for this client (a policy PDF, an application) to send it along. Sent attachments appear as download chips in the email history beside the composer.

Status & lifecycle

Each policy carries its own status: In force, Pending, Lapsed, Cancelled, Surrendered, Terminated, Withdrawn, Expired, Inactive. Flipping a policy into a lapse-trigger status (Lapsed / Cancelled / Surrendered / etc.) can auto-create a chargeback row on the commission calendar — see Commissions for the math.

Assignment (Team plan)

Same model as leads. Picker on the detail page sets the client's owner; bulk action "Assigned to" sets many at once. The owner shows on the list (when the column is on) and on the dashboard's "Assigned to me" card.
